Exhibitor Applications are OPEN!

The Word On The Street’s 2025 festival marketplace will take place over TWO full days, the weekend of September 27-28, 2025.
 

Event times: 11AM-6PM on Saturday September 27; 10AM-5PM on Sunday September 28

Exhibitor registration is now open for the 2025 festival. Please read the information on this page carefully before applying via the link at the bottom of the page.

If you’re not already signed up to our Exhibitor Newsletter, now is a great time to do it – you’ll receive updates before anyone else about our Marketplace.

  • Identify your Business Category using the definitions below.
  • Review this year’s booth layouts, add-ons, and advertising options to plan the best fit for your exhibit.
  • Review the Terms & Conditions related to exhibiting with The Word On The Street. By applying, you signal that you have read and agree to these terms.
  • Review the Exhibitor Rates for booth space in your Business Category.
  • Fill out the Exhibitor Registration Form at the bottom of this page! Be sure to apply by the deadlines listed below.

Bookstores and Other Retailers: Companies whose primary business is the sale of books, magazines, and other retail goods.

Book Publishers & Distributors: Companies whose primary business is the publishing and/or distribution of books or electronic books. Companies offering book marketing and self-publishing services are not eligible for publisher rates.*

Authors: Individuals representing their own literary work, whether traditionally or independently published. Authors are limited to only selling copies of their work at the festival. To be eligible to table at the 2025 festival, Author displays must include works with a publication year of 2021-2025. Note: due to overwhelming demand, Author applications are subject to a separate review timeline than other categories.

Magazine Publishers & Distributors: Companies whose primary business is the publishing and/or distribution of print or electronic formats of one or more magazines. A magazine is a printed and bound periodical, available to the general public, and a publishing frequency of at least twice a year.

Arts Organizations: Entities that promote the arts, which are not-for-profit or charitable and are typically funded by donations from the private and/or public sector.

Libraries & Educational Institutes: Organizations that provide a service to the community and exhibit at The Word On The Street solely to market these services. Also see Literacy Lane category for charitable literacy organizations.

Literacy Lane: This section is reserved for registered and practicing not-for-profit or charitable organizations that provide training for people to improve basic and functional skills in reading, writing, speaking, listening, and numeracy, or those that lobby, fundraise, and raise awareness about literacy issues and donate all proceeds directly to literacy organizations. Private schools are not eligible for free space in Literacy Lane.

Writers Block: This section is reserved for organizations whose members are authors and/or writers.

Standard Booth: one 10’x10’ tent, including three (3) 6ft tables and two (2) folding chairs.

Large Booth: one 10’x20’ tent, including four (4) 8ft tables and four (4) folding chairs.

Deluxe Booth: one 20’x20’ tent, including eight (8) 8ft tables and eight (8) folding chairs.

Half Booth: half of a 10’x10’ booth, split diagonally (50 sq. ft. of space), including one (1) 6ft table and two (2) folding chairs. Half Booths are shared with one (1) other exhibitor.

Table: one (1) 6ft table with one to two (1-2) folding chairs in our Indie Alley or Magazine Mews locations. Tables will be located underneath a covered space/tent. This subsidized option is available for independent authors and small magazines only.

*All booths come with sidewalls that can be set up and configured to suit individual booth display. Tables do not come with linens.

 

Extra 6ft tables: $25 per table

Extra chairs: $5 per chair

Exhibitor Special Listing: $400

Approximately 75 words describing your business, plus one logo or photo, on our festival brochure. Limited slots available.

Banners: $2,500-5,500

Available sizes vary. Inquire for details.

Early Bird deadline: Friday, January 31, 2025Booth rates will increase after this date.

Regular deadline: Thursday, May 1, 2025. This is the final date to ensure inclusion in the Exhibitor listings of our festival brochures.

A 50% deposit is due within 30 days of receiving your invoice in order to confirm registration.

Final payments are due Friday, May 2, 2025.

Exhibitor Registration Rates

Early Bird Offer: get the best price for your booth at WOTS 2025! We are offering 10% off the Regular Rates from 2024* for a limited time. Apply by Friday January 31, 2025 to claim this offer.

Rates are for the full two days (September 27-28) at the festival. We are unable to offer single-day rates.

The rates below include the 10% Early Bird discount. Rate changes after January 31, 2025 will be reflected in the table.

Please note that as a registered charity, The Word On The Street does not charge HST.

*Deluxe Booths are not eligible for the 10% Early Bird discount.

Exhibitor Terms & Regulations

Booth Location Assignment

  • Booth locations will be assigned by festival staff with consideration for optimal traffic flow and the goals of The Word On The Street Toronto.
  • The festival reserves the right to limit the number of booth spaces available in each category.
  • If space is filled, applicants may opt-in to our exhibitor waitlist.
 

Confirmation & Payment

  • All applications are subject to review and approval by festival staff.
  • Registration will be confirmed upon full payment of your festival invoice.
  • If an application was received during the Early Bird period but an invoice not sent until after the Early Bird deadline, the applicant will still receive the Early Bird rates.
  • Exhibitor fees may be paid by cheque or credit card.


General Regulations

  • Tablecloths are NOT provided. We encourage you to bring your own linens.
  • The festival will print booth signs including booth number and the exhibitor’s business name. These are plain, black-on-white signs and are intended for wayfinding purposes. We encourage you to bring additional signage!
  • Booth spaces must be occupied by the applicant for the duration of the festival weekend (September 27-28).
  • Displays must be contained within the square footage of the booth.
  • Additional furniture must fit within the dimensions of your booth space.
  • Exhibitors are not permitted to rent, sublet, or share their Booth space with any third party without prior written agreement from The Word On The Street.
  • Additional policies and a special fee structure shall apply to exhibitors subletting space to more than four parties, including those who charge fees to promote books and author signings within their exhibit space.
